ARTICLE I – Name
The name of this organization shall be the “Adrian High School Music Boosters”
ARTICLE II – Purpose
1. To encourage and cultivate active participation by students and parents in Adrian Public Schools' music programs.
2. To assist in fundraising for scholarships, trips, school-sponsored music camps, private summer camps, and other items and/or activities that might be needed for successful operation of the music programs in Adrian Public Schools.
ARTICLE III – Policies
1. The Boosters shall at no time interfere with the music program teachers or school administration in matters of policy.
2. The organization agrees to hold the Booster officers, employees, and agents harmless from any and all liability for loss, injury and damages, both personal and property, connected to, or in any way related to, activities of this organization.
3. Adrian High School Music Boosters have signed and agree to adhere to the Booster Club License/User Agreement with the Adrian Public Schools.
ARTICLE IV – Membership
1. Membership in this organization shall be open to all adults who are parents/guardians or family members of a current or former Adrian Public Schools music students. Members shall show an active interest in the promotion of music at Adrian Public Schools.
2. A registered member is defined as a person who has completed a proper registration and has been reviewed and approved by an Executive Board Member.
3. All registered members are eligible to vote when in attendance at any scheduled Adrian High School Music Booster meeting.
4. The Secretary will keep a roster of the registered members.
5. Students in attendance at general meetings cannot participate in voting.
ARTICLE V – Executive Board
1. The Executive Board shall consist of Music Boosters officers, the music program teachers, the Fine Arts Director, and the immediate past president of the Music Boosters. All Executive Board Members are part of the general membership.
2. The duties of the Executive Board shall be:
- to transact necessary business between general meetings
- to create and oversee committees
- to attend scheduled Adrian High School Music Booster meetings
- such other business as may be requested by the organization.
Special meetings may be called by any member of the Executive Board. A report of any Executive Board meetings shall be made at the next regular meeting of the organization.
ARTICLE VI – Officers
1. The officers of this organization shall be: President, Vice President, Secretary, and Treasurer.
2. Eligible members seeking an Executive Board office must be nominated by another Music Booster member. Members may also suggest candidates by nominating a member. The nomination process will take place during the April Music Boosters meeting in odd years (2019, 2021, etc.)
3. Officers shall be elected during the May Music Boosters meeting in odd years (2021, 2023, etc.) and shall hold office for a minimum of two fiscal years. They shall not hold office for more than one two-year term unless approved by a majority vote.
4. Only registered members can be nominated for an officer position.
5. Resignation of office shall be submitted to the Executive Board in writing and be accompanied by all club records and/or property pertaining to the office.
6. The Executive Board shall be responsible for filling any vacancies occurring during the fiscal year.
7. All officers will be provided with a copy of the Bylaws.
ARTICLE VII – Officers' Duties
1. The President shall preside at all meetings of the organization. He/she may at any time during his/her term of office, suggest and/or appoint special committees. The President shall provide a written agenda for each general meeting.
2. The Vice President shall assume the duties of the President in his/her absence. He/she shall have general oversight of the fundraising committees.
3. The Secretary shall prepare minutes for each regular or special Adrian High School Music Booster meeting and the Executive Board meeting. He/She shall present such minutes in writing at meetings, maintain a permanent record of minutes, handle official correspondences, maintain the membership registry, and follow up on background checks for volunteers.
4. The Treasurer shall keep an accurate record of receipts and disbursements for the association’s designated accounts. The Treasurer shall give a full written report at each regular meeting. He/She shall also submit an annual budget for approval by the general membership.
ARTICLE VIII – Meetings
1. Regular meetings of this organization shall be held each month at a time and place to be determined at the beginning of the school year.
2. Committee meetings will be held as needed as determined by the committee members.
3. Special meetings may be called by the President or the music program teachers, provided all members are notified at least three (3) days prior to the time of the meeting.
4. A quorum shall be all members present.
5. A majority vote shall be required for passing of all motions except for amendments to the bylaws. (See Article XI.)
6. When voting on financial motions over $500, the motion shall be made or seconded by an Officer of the Executive Board.
7. The annual budget for this organization shall be discussed at the May meeting each year. The Treasurer will bring printed copies of the current budget and any recommendations regarding the new budget to the meeting. The budget will be finalized and voted on at the June meeting each year. Only registered members may vote on the budget.
ARTICLE IX – Committees
1. A Committee shall be a body of at least two people.
2. Standing committees appointed by the President shall be:
- Nominating Committee
- Scholarship Committee
3. At least one officer shall be on each Standing Committee.
4. Any General member is welcome to participate in a committee with the following exceptions: The President may not be a member of the Nominating Committee. The music program teachers and Fine Arts Director may not be members of the Nominating or Scholarship Committees.
5. Special committees may be formed at any time by the Executive Board.
6. Special and standing committees are created for a specific purpose and are terminated when the duties of a project are completed.
7. Upon the completion of a committee project, a written report by the committee chairperson is to be submitted to the Executive Board, and is to be kept in the President’s records as an aid to future chairpersons of similar projects.
8. Committees shall present a report at the general meeting while their project is in progress.
ARTICLE X – Parliamentary Authority
“Roberts Rules of Order Revised” shall govern this organization in all cases to which they are applicable and in which they are not in conflict with these bylaws.
ARTICLE XI – Amendments
The bylaws may be amended at any regular meeting of the organization by a two-thirds vote of the members present, provided notice of three days has been given.
ARTICLE XII – Scholarship Applications
1. Any student requesting a scholarship for an Adrian High School Music Camp/activity must submit their application by the provided deadline. The Scholarship Committee will review all submitted applications for approval. Recipients and/or their music program teacher will be notified one month prior to the event.
2. Scholarships may be applied for on an as-needed basis for other music-related activities. Applications must be approved by the Scholarship Committee.
3. The approval of scholarships and their monetary amount will be based on the budget voted on by the general membership.
ARTICLE XIII – Dissolution
Upon dissolution of the Adrian High School Music Boosters, all funds will be distributed equally to the High School Band, Orchestra, and Choir Student Activity Accounts through the Adrian Public Schools.
